Automated follow-up that still sounds like you

Automate the follow-ups that say the same thing every time, and write them in the words you already use. Acknowledgements, reminders, appointment confirmations and review requests suit automation; quotes, complaints and anything sensitive stay with a person.

Ao, the Aurora Owl mascot, sits on an ink plum branch beside a drawn rubber stamp that has just printed a message bubble. The print reads, in handwriting: Thanks, it reached us. I’ll reply myself by 6pm. It is signed R. and carries a small label: automatic. Two faint earlier prints of the same message sit behind it.

Which follow-ups should you automate?

The ones that say the same thing every time. People forget them on busy days, and software keeps sending them.

Which follow-ups should stay personal?

Anything that needs judgment or private details.

  • Quotes. The customer wants to know someone looked at their job. In our experience an automatic quote reads like a price list.
  • Complaints. Let the acknowledgement go out, then have the owner reply. A template answering an angry message tells the customer nobody read it.
  • Anything sensitive. WhatsApp bans asking people for full payment card numbers, financial account numbers or ID card numbers, and bars health information where local rules forbid sending it through systems without stronger safeguards (WhatsApp Business Messaging Policy, updated 23 Sep 2026). Keep diagnoses and test results out of automated messages.

On the Business Platform, WhatsApp also requires “prompt, clear, and direct escalation paths” to a person when replies are automated, such as a phone number or an email address (WhatsApp Business Messaging Policy). On the Business app it’s simply good practice.

How do you make a template sound like you?

Build it from your last ten replies to new customers. Copy the phrases you actually use: the greeting, first names or not, the sign-off. A few rules from our own work:

  • Say it’s automatic when it is. In our experience, customers accept an instant automatic reply. A “personal” note that turns out to be software costs you trust.
  • Name the person who will follow up, and only if they will.
  • Write in your customers’ language.
  • Read it aloud. If you wouldn’t say it at your counter, rewrite it.

What are WhatsApp’s rules for business messages?

WhatsApp’s Business Messaging Policy covers both the WhatsApp Business app, which is free to download, and the paid WhatsApp Business Platform that software connects to (WhatsApp Business Messaging Policy; WhatsApp Business).

  1. Ask first

    You may message people only if they gave you their number and opted in to hear from you (WhatsApp Business Messaging Policy). Meta’s opt-in guide says the request must name your business and make clear what the person is agreeing to. You can collect it on a website form, by phone or on paper (Meta for Developers, Get opt-in for WhatsApp).

  2. Stop when asked

    Respect every request to opt out, made on WhatsApp or anywhere else. Blocks and reports from customers can lead WhatsApp to limit how many messages you can send (WhatsApp Business Messaging Policy).

  3. On the Platform, use approved templates after 24 hours

    A customer’s message opens a 24-hour customer service window. Once it closes, you can send only pre-approved templates (Meta for Developers, Service messages). You choose a category for each template (marketing, utility or authentication), and Meta reviews it, which can take up to 24 hours (Meta for Developers, Template fundamentals).

    Utility means no promotion, tied to the customer’s own order, account or service; add an offer and it becomes marketing. Generic feedback requests don’t qualify as utility, and Meta can recategorize approved templates (Meta for Developers, Template categorization).

India’s Digital Personal Data Protection Act, 2023 says consent must be “free, specific, informed, unconditional and unambiguous”, limited to a stated purpose, and as easy to withdraw as it was to give (DPDP Act, 2023, section 6). It also allows using details for the purpose someone volunteered them. In its example, a person messages a real estate broker about a rental, and the broker may use their details for that until they say they no longer need help (section 7).

The rules that put the Act to work were notified in November 2025 with an 18-month phased timeline for compliance, so parts of the law are still coming into force (Press Information Bureau, 14 Nov 2025). We’d set up consent now.

The UAE’s Personal Data Protection Law, Federal Decree-Law No. 45 of 2021, came into force on 2 January 2022. The government portal says it bars processing personal data without the owner’s consent, with some exceptions, and lets people ask to correct their data or stop its processing. It adds that the Consumer Protection Law bars suppliers from using consumer data for marketing (UAE Government portal, Data protection laws, updated 4 Dec 2025). The portal doesn’t describe the detailed rules for applying the PDPL, and we couldn’t open the official legislation site, so treat the specifics as unsettled.

One set of habits covers both countries and WhatsApp: an unticked box on your forms that names your business and says what you’ll send, a separate box for offers, a record of when each person agreed, and a STOP that works the same day. That’s our reading of official pages. Check your own case with a lawyer.

Three templates to start with

Swap the bracketed words for your own. On the Platform, each bracket becomes a named parameter with an example value (Meta for Developers, Utility templates).

  1. The acknowledgement

    “Hi [name], thanks for your message. This is an automatic reply so you know it arrived. [Your first name] will answer personally by [time] today. If it can’t wait, call us on [number].”

    Use it as your greeting or away message. On the Platform it goes out inside the window the customer just opened, so it needs no approval.

  2. The appointment confirmation

    “Hi [name], you’re booked in for [service] with [staff name] on [day and date] at [time], at [address]. Reply CHANGE if you need another time and we’ll sort it out. See you then, [business].”

    Keep offers out of it, so it stays a utility message.

  3. The review request

    “Hi [name], thank you for choosing [business] for [job]. If you have a minute, we’d value an honest review, good or bad: [link]. [Your first name] reads every one. Reply STOP if you’d rather not get messages like this.”

    Google suggests a review link or QR code from your Business Profile (Google Business Profile Help, Tips to get more reviews). Send it to every customer, with nothing offered in return. We’re not sure which category Meta will give it, so send it only to people who agreed to hear from you. More in our post on reviews and mentions.
